Boston Operations has an immediate opening in its Engineering Department for a dynamic Field Engineering Assistant (EA). Under general supervision, the EA provides complete administrative and technical support to a team of Jurisdictional Inspectors (JIs) who report to the Operations Chief Inspector (OCI). This position also assists as the primary back up for the Reception desk.
Responsibilities - External:
The Engineering Assistant’s (EA) main responsibility is to assist Jurisdictional Inspectors (JIs) in maximizing their time with our clients. The EA will organize, prioritize and schedule client visits for their team of JIs. EAs maintain individual JI calendars by ensuring there is an efficient and balanced workload. The EA is responsible for administrative support to a team of JIs (approx. 3-4). The EA is also responsible for participating in team meetings. EAs are the liaisons between the office and Jurisdictional staff.
As primary backup to the Reception Desk, the EA provides support to the Reception desk on a daily basis, including maintaining office security, emergency procedures, professional phone handling, greeting visitors, and possibly scheduling conference rooms. Also, assists with special projects which can include presentation material, employee communications, and research projects.
Qualifications - External:
- Professional attitude and appearance
- A pleasant personality with customer service focus and strong ability to help others
- Excellent computer skills particularly Microsoft Word, Outlook, Excel and PowerPoint
- Self-motivated and team-oriented
- High School Diploma, some college preferred
- Minimum 2 years administrative experience supporting a group and/or manager
- Attention to detail and proofreading skills
- Strong problem-solving capability
- Strong planning and organizational skills with ability to prioritize tasks and meet deadlines
- Excellent interpersonal and communication skills; oral and written
- Creativity with designing employee communications
- Ability to multi-task
This role requires simultaneous attention to many details and the ability to work with FM Global employees and clients. Excellent language skills, both oral and written are necessary. Much time is spent contacting clients to schedule client visits for the Jurisdictional Inspectors (JIs). The successful candidate is detail oriented and has excellent organizational, problem-solving and decision-making skills.
