The Engineering Processing Department has an immediate opening for a Field Engineering Assistant in the Vaughan office. This position will be responsible for administrative support within the Field Engineering Department. This position's primary function is to ensure Field Engineers have all the resources to do their job: schedule visits, monitor and ensure completion of all risk evaluations, follow-up on recommendations, maintain statistics and performance measurements. Field Engineering Assistants’ focus is to maximize Field Engineers’ time with FM Global clients.


Responsibilities:

Risk Assessment – Support field engineering efforts to conduct risk assessment of our clients’ locations

Organize and schedule field engineering visits in order to support meeting corporate objectives. Ensure all visits are updated in Field Engineer’s Outlook calendars and allot time for project follow-ups, risk report writing, etc.


Prepare and distribute “Pre-visit” agendas/letters.

Consult with Work Assignment Consultant on servicing assignment issues related to workload management.


Monitor and prepare necessary documents for Group Manager Field Engineering for trailing assignments.


Ensure all necessary file materials are provided to the Field Engineer in advance of a visit.

Risk Improvement – Support field engineering efforts to achieve substantial risk improvement.

Assist in risk improvement follow-up, contact clients to determine the status.


Ensure risk improvement follow-up results are communicated to the Field Engineer, Account Engineer and Client Processing Associate.

Client Engagement – Support to deliver timely, accurate and efficient loss prevention services.

Manage all orders currently on assignment for timeliness.


Ensure assigned orders are on track to meet all corporate and operational objectives.

Be aware of all scheduled visits and/or reasons for delays.


Confer with Work Assignment Consultant on location servicing issue that may need to be escalated to the Customer Service Team.


Provide feedback to Work Assignment Consultant, Group Manager Field Engineering and Engineers regarding the status of all orders and escalate concerns regarding the status of any orders that will not meet timeliness requirements and any supporting information.


Run, analyze and resolve discrepancies on reports containing the following information:
Summary of assigned orders requiring follow-up due to missing risk reports or inspection complete dates
Cancelled orders with time charges
Summary of risk reports produced and the processing timeliness for the reports
Summary of completed recommendations by Field Engineer
Inspection counts and time charges
Designated Service Provide lists


Ensure engineering Project Correspondence (i.e. Plan Review/Project Reports, etc.) is reviewed and distributed according to Brand Assurance standards, Operating Requirement and Document Distribution.

Administrative Support – Provide support to Group Manager Field Engineering and Field Engineers.

Review and approve all time charges weekly.


Follow-up on late time reports and bring any questionable entries to the attention of the Group Manager Field Engineering.


Review and approve time charge reports to meet corporate date extraction timeliness.


Coordinate corrections as applicable with the Field Engineer and Group Manager Field Engineering.

Review all Field Engineers’ expense reports monthly.


Review expense report for accuracy of expense based on corporate and local guidelines.

Ensure required receipts are included.
Follow-up with Field Engineer on any late submittals.
Forward expense reports for approval and submit to finance.
Provide assistance with team meetings, presentations, preparation of annual business plans, monthly and quarterly reports and assembling statistics during performance review.

Qualifications:

Bachelor's degree or equivalent.

Demonstrated above average ability in organization, time management and problem solving skills.


Excellent communication/customer service skills.


Advanced knowledge of Microsoft Office Products.
