On one project in Florida, I worked with a client to make sure a critical 911 communications facility would be operable during and after a Category 5 hurricane. Advising them on things like how to protect vital generator systems and helping them make costeffective design decisions, I had a hand in building something truly substantial. This position is an administrative assistant role, this person will support Plan Review and Customer Service objectives and manage administrative functions on behalf of the Manager of Office & Engineering Training.

  • Plan Review Submittal Logging
    • Review Client engineering plan submittals
    • Enter the plan information into CEAM, verify contacts, research and confirm location and index numbers are entered/coded correctly, assign to appropriate engineer
    • Prepare plan review letter for assigned engineer
    • Research if we need and/or have engineering service authorization
  • Plan Review Follow Ups – Contact clients in the requested timeframe to determine if additional plans are coming
  • Letter Distribution – Proofread letter, verify distribution and send via email
  • Data management – Enter client provided data into CEAM’s impairment tracking system as well as upload documents and maintain electronic files
  • Compile and run various Plan Review reports for the MOET such as Active vs. On Hold plans, status of Reports reviews still in queue, and monitor inactive index numbers, etc.
  • Send reminders to the engineers scheduled to work in the office for plan review
  • Complete additional duties, as assigned, which support the MOET, Plan Review, and Customer Service function
  • Complete additional duties, as assigned, as needed within the Engineering Processing department


  • College degree preferred and 2+ years’ experience supporting a work group and/or manager
  • Project coordination experience preferred
  • Excellent communication and interpersonal skills
  • Strong organization, time management and prioritizations skills
  • Exceptional interpersonal skills, capable of adapting quickly to constant changing priorities
  • Able to manage tasks and work under pressure to meet specific time sensitive requirements
  • Meticulous attention to detail and problem-solving skills will be critical to the success of this individual
  • Proven track record on leading and taking ownership of processes to keep various tasks running smoothly
  • Superior technical skills with all Microsoft office applications preferred, and the ability to proactively learn other programs swiftly to prevent any delays in meeting assigned objectives
  • Customer service oriented, self-motivated, self-directed, and eager to learn
